Conference Group Policy
Banff Rocky Mountain Resort looks forward to welcoming you and your clients to the Canadian Rockies. To ensure that your meeting runs smoothly, we ask for your cooperation by reviewing and following these guidelines. Upon receipt of your signed contract, our Conference Coordinator will assist you in planning all the necessary details to ensure a successful meeting.

Deposit Policy
A minimum deposit of $1,000.00 must be received, along with your signed contract, in order to confirm reservations for all bookings. This deposit is fully refundable up to 60 days prior to your scheduled arrival date.

Method of Payment
Balance of payment is due upon completion of the function unless prior billing arrangements have been made through the Conference Coordinator. All payments must be made in Canadian currency, all major credit cards are accepted with prior approval.

Rooming List
We require a guaranteed rooming list no later than 30 days prior to arrival. After this date any unreserved rooms will be cancelled and additional rooms requested will be accepted on a space availability basis. All reductions to the guaranteed rooming list must be made at least 14 days prior to arrival. A 20% reduction to the room block is allowed up to 14 days prior to arrival. After 14 days - any guest room cancellation will result in the full charge of anticipated room revenue.

Any guaranteed rooms cancelled less than 72 hours prior to the group's arrival will be charged the entire anticipated revenue.

Any charges owed by the group will be billed to the group's master account.

Food and Beverage
All prices are subject to change and will be confirmed 60 days prior to the event. In order to be assured of your menu choice, we ask that you advise the Resort of your selections thirty days prior to the function date. All prices are subject to applicable taxes and a customary 15% gratuity will be added to all food and beverage selections.

We request a final guarantee of guests to be submitted no later than seven days prior to arrival. After this date, the convener agrees to pay the rate quoted for the number of people guaranteed or in attendance, whichever is greater. The Resort reserves the right to provide an alternate function room suited for the size of the group. Policy permits service of alcoholic beverages until 12:00 midnight. The function room must be cleared by 12:30 a.m.

Meeting Room Rental
There is a meeting room rental fee for all meeting space. The prices are per meeting room per day as follows: Summit/Cascade - $500.00 Norquay/Rundle - $100.00. Price is subject to 5% G.S.T. The meeting room rental for the main meeting room is generally waived if a full meal plan is purchased for the meeting.

Audio/Visual Equipment
The resort would be pleased to attend to your audio/visual needs by renting various pieces of equipment through Sharp's Audio-Visual Ltd. Kindly note that these charges will be included in the final invoice.

Hospitality Suite Set-up
If your group would like a dry bar set-up in a Hospitality Suite the cost is $3.00 per person per day. A dry bar set-up includes ice, extra glassware, napkins, utensils, plates and extra chairs.

Arrival/Departure Time
Check-in time is 5:00 p.m. and Check-out time is 11:00 a.m.
